Peek & Poke are a small Sheffield-based game studio making web-based videogames for marketers. We work with all sorts of businesses, charities and media companies who want to promote their brand and engage with their audience in fun and interesting ways. Some well-known examples of these include: ARM, Boohoo, Coors Light, DFDS, Domino’s, EE, Greene King, IBM, JD Sports, Kellogg’s, Kwik Fit, LV=, Nickelodeon, Pringles & Sky. These mini-games are usually delivered online, but also offline in a range of devices such as at tradeshows or in-store (e.g. iPads, touch-screens, arcade machines, etc.).

While we have experienced steady growth over the past few years, we have ambitious plans to take the business up a gear over the next few years and need you to be the administrative ‘glue’ between our marketing & production teams.

Who we’re looking for:

As our office manager, you’ll take over the business admin activities from our company director (so he can have his evenings and weekends back), and help to put into place systems and processes to streamline future growth.

You’ll be a super-organised people-person with a good head for numbers (i.e. spreadsheets & bookkeeping), and a passion for maintaining smooth business operations so that our creative specialists can concentrate on what they do best.

Working as part of our small but mighty team you’ll report directly to the company director.

The role is based at our Sheffield offices, but home-working would be an option from time to time once full handover of responsibilities is complete. Speaking of which…

Your responsibilities would be:

  • Carrying out bookkeeping activity and reconciling bank accounts
  • Preparing customer invoices and chasing any overdue
  • Preparing monthly management reports & Updating KPI scoreboard
  • Supporting with HR activity (recruitment, booking appraisals, organising staff training & annual leave)
  • Ensuring staff timesheets are filled in on time
  • Arranging team payroll with accountants
  • Assisting the director & sales/marketing team with administrative activities
  • Organising & documenting company processes and procedures
  • Supporting with sales enquiries and customer queries during busy periods
  • Purchasing equipment / software
  • Helping to test new games as and when required
  • Ensuring data protection laws are being adhered to and reviewing and updating policies
  • Ensuring health and safety policies are being adhered to and reviewing and updating as appropriate
  • Helping out with any other random tasks that crop up

You must have:

  • At least 3 years’ experience in a similar role
  • A good understanding of bookkeeping practices
  • A good understanding of HR practices
  • A pro-active self-starter mentality with superb organisational skills
  • Excellent written skills with impeccable spelling, punctuation and correct use of grammar
  • A professional telephone manner
  • Advanced understanding of Microsoft Excel
  • Well-versed in word processing / database / email tools (Microsoft Office)
  • A keen eye for detail

It would also be advantageous (but not essential) if you have:

  • Experience with online bookkeeping software (Xero)
  • CRM & Email software (Zoho, Mailchimp)
  • Experience with collaborative online software (Basecamp, Google Docs)
  • Enjoy playing casual, mobile and/or social games
  • Experience working in a creative/software/tech based work environment
  • A well thought out plan for surviving the upcoming Zombie Apocalypse

We are a hard-working, friendly team who enjoy what we do. Many of us are parents so having a flexible approach to working hours is important to us. Team drinks and trips to the board-game café are fairly regular events and we all enjoy cakes and biscuits to keep us going through the day at our SUM Studios home.

Salary & hours

£25K pro-rata (plus pension and bonus).

33 days holiday pro-rata (Including bank holidays).

This is a permanent, part-time role. Two days (15 hours) a week with the option to work more during busy periods (e.g. Lead up to Christmas).

There will also be the potential for a further increase in hours (for those that want it) as we grow.
